CRM vs spreadsheet for real estate agents

Published

A spreadsheet is a fine place to start. Here is where it stops working, and what a CRM changes.

Get started

Where spreadsheets work

For a handful of leads and listings, a spreadsheet is free, familiar and flexible. If you are just starting out, it may be all you need.

Where spreadsheets break

As volume grows, the problems appear:

  • Nothing reminds you to follow up
  • Several versions of the same sheet exist, and nobody knows which is current
  • Conversation history lives somewhere else, in chat apps or email
  • Listings, leads and deals sit in separate tabs that never connect
  • A team cannot safely edit the same sheet at the same time

What a CRM changes

A CRM keeps people, properties, tasks and deals linked. You get reminders, a shared calendar, a deal pipeline and one record per contact that the whole team sees.

When to switch

Switch when you have missed a follow-up because of the sheet, when more than one person needs the data, or when you spend time copying information between files. Good tools let you import your existing sheet so the move takes minutes.
